Privacy policy
How we handle your personal data when you use this website, in plain English first and then in full.
Last updated 26 June 2026.
The short version
- We only ask for what we need to answer your enquiry or book your appointment.
- We do not sell your data, and we do not run advertising trackers.
- Our analytics are cookieless and hold no personal data about you.
- You can ask us to show, correct, or delete your data at any time.
Who we are
Smart Energie Ltd is the data controller for the personal data described in this notice. We are registered in England and Wales (company number 14073778), with a registered office at Unit 27, Wadsworth Business Centre, Greenford, UB6 7LQ. We are registered with the Information Commissioner's Office (ICO) as a data controller.
For any question about your data, or to exercise a right below, contact us at info@smartenergie.co.uk or call 0800 999 1129.
The personal data we collect
We collect only what each part of the site needs to do its job:
- Enquiry and callback forms: your name, email address, phone number, postcode or address, and anything you choose to tell us about your home or project.
- Meeting bookings: if you book a call, your name, email and chosen time go to our booking provider so we can meet you.
- Our tools (quote, planner, payback, BUS eligibility, EPC lookup): the answers you enter. The figures are worked out in your browser. The EPC lookup sends only your postcode to the public government EPC register, never your contact details.
- Technical data: when you visit, our hosting and error-monitoring providers process limited technical information such as your IP address and browser type, to keep the site secure and working.
We do not ask for special-category data (such as health or financial account details) through this website, and we ask that you do not send it to us in free-text fields.
Why we use it, and our lawful basis
- To answer your enquiry, give you a quote, or arrange a survey or call: our legitimate interest in responding to you, and where relevant taking steps at your request before entering a contract.
- To send you marketing, only if you have opted in: your consent, which you can withdraw at any time.
- To understand how the site is used, through cookieless analytics that hold no personal data: our legitimate interest in improving the site.
- To keep the site secure and diagnose faults: our legitimate interest in a safe, reliable service.
- To meet our legal, accounting and regulatory obligations: compliance with a legal obligation.
Who we share it with
We do not sell your personal data. We use a small set of carefully chosen processors to run the site and respond to you. Each only receives the data it needs for its task:
| Provider | What it does | Where | Data involved |
|---|---|---|---|
| Resend | Delivers your enquiry to our inbox | United States | Your name, email, phone and message |
| Cal.com | Runs the meeting-booking tool | United States | Only if you book: your name, email and chosen time |
| Plausible Analytics | Cookieless, privacy-first site analytics | European Union | No personal data, no cross-site tracking |
| Sentry | Error monitoring so we can fix faults | United States | Technical and error data; not configured to capture your form content |
| EPC Open Data (MHCLG) | Government register for the optional EPC lookup | United Kingdom | Only your postcode, never your contact details |
| Postcodes.io (Ideal Postcodes) | Checks your postcode is valid in the quote and planner tools | United Kingdom | Your postcode only |
| Vercel | Hosts and serves the website | United States | Technical data such as IP address and request logs |
We may also disclose data where the law requires it, or to professional advisers acting for us under confidentiality.
Sending data outside the UK
Some of our providers are based outside the UK, including in the United States. Where your data is transferred outside the UK, we rely on appropriate safeguards recognised under UK data-protection law, such as the UK International Data Transfer Agreement or an adequacy decision, so your data keeps an equivalent level of protection.
How long we keep it
We keep enquiry and contact correspondence for up to 24 months after our last contact, unless you ask us to delete it sooner or we need it longer to meet a legal or contractual obligation. Where you become a customer, we keep records for as long as the law requires, including up to six years for financial and tax records. Analytics data holds no personal information about you.
Cookies
This website does not set non-essential or advertising cookies by default. Our analytics are cookieless. If you open the meeting-booking tool, our booking provider may set cookies needed to run that tool; you only load it if you choose to.
Your rights
Under UK data-protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased, where there is no overriding reason to keep it.
- Restrict or object to how we use your data.
- Ask us to transfer your data to you or another provider.
- Withdraw consent at any time, where we relied on your consent.
To exercise any of these, email info@smartenergie.co.uk. We will respond within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we would welcome the chance to put things right first.
